Executive Assistant

Job title: Executive Assistant


Location: KeAi Beijing Office

No. 16, North Street, Donghuangchenggen, Dongcheng District, Beijing


Purpose of the Job:

As Executive Assistant you support KeAi management’s effectiveness and play a key role in the efficiency of the company’s daily administrative, financial and logistical operations.


Key Responsibilities and Activities:

  • Company administration: preparing, processing and archiving contracts, preparing and distributing meeting minutes, monitoring and handling company mail
  • Finance support: providing support to the finance manager by preparing and processing payments, collecting invoices and providing administrative support in financial matters
  • Management assistance: maintaining management’s schedules by planning and scheduling meetings, teleconferences and travel; supporting internal and external management communications
  • Logistical operations: maintaining office supplies, book meeting rooms for conferences and team meetings, assist in ad hoc operational matters


General Competencies:

  • Communication: excellent communication skills; able to understand and process information effectively, fluent in Mandarin and English, both speaking and writing
  • Organization: able to prioritize, effectively manage your own and others’ time and efficiently keep agenda’s, accurately administer internal and external correspondence and formal documents
  • Teamwork: self-starter, can work independently, but collaborates well with colleagues and customers, flexible


General Qualifications:

  • Master's degree in business administration and/or communications
  • Computer skills: Proficient in Outlook, Word, Excel, PowerPoint
  • 1 - 2 years’ professional experience
  • Experience working in an international company
  • Excellent Mandarin and English language skills (written and oral)
